JOB TITLE: Receptionist/ Recreation Assistant DEPARTMENT: Recreation DATE: 11/2019 IMMEDIATE SUPERVISOR: Recreation Supervisor/ Office Manager
PURPOSE To develop, coordinate, and supervise ongoing recreational programs for persons of all ages and abilities and develop the marketing of the Department and its offerings.
This full time and benefited position is the first contact for the Parks and Recreation office. This position is responsible for providing customer service including reservations, registrations, and addressing customer questions and concerns. It is essential that the person filling this position have excellent customer service skills, extensive knowledge of the Parks and Recreation Department, the ability to multitask, and be flexible in all types of situations.
ESSENTIAL FUNCTIONS I. Recreational and Related Activities • Plans, develops, and implements a variety of recreational activities and programs assuring for safety and the enjoyment of leisure time for participants. • Leads groups and individuals in activities and programs assuring for safety and the enjoyment of leisure time for participants. • Promotes recreational activities and programs by developing and distributing to media and others: press releases, articles, etc. assuring for accuracy and timeliness. • Responsible for tracking and reporting statistical data for recreational activities and programs including worksheets and evaluations assuring for accuracy and timeliness. • Monitors the budget for recreation. • Supervise recreation and special event program staff. • Coordinates the set up for special events.
II. Receptionist • Perform various clerical, administrative, and other duties as assigned. • Greet and wait on customers. This includes, but is not limited to: making reservations, canceling reservations, enrolling customers in activities/events, selling consignment tickets, and answering any questions they may have. • Assist other staff members with their duties which include, but are not limited to: making copies, filing, and communications. • Occasionally take Minutes at meetings that occur after hours if the Office Manager is unable to attend the meeting. • Prepare weekly and daily reservation reports, then report activities, changes, and facility setup to the appropriate staff.
• Prepare any departmental correspondence to parties, as directed by any department staff. • Prepare monthly activity report for the monthly report that details reservations and activities for the month. • Maintain a clipping scrapbook of newspaper, magazine, or other media that involve the Parks and Recreation department. • Assist the Office Manager in cash reconciliation. This includes, but is not limited to, counting revenue and petty cash and determining change needed.
KNOWLEDGE REQUIREMENTS • High School Diploma • 2-3 years of relevant experience. • Previous cash-handling experience. • Ability to deal effectively with the public. • Related degree preferred.
